The Void Checks Utility allows you to void posted checks within Payroll. This article covers selecting checks to void, reviewing them in the grid, previewing the edit report, and posting the voids to the General Ledger.
Filters
Use the filters to select an employee and the specific check(s) you want to void.
- Click the (not set) link or the Search icon next to Employee to open the Person Search window.
- Enter your search criteria in the Name field: by default, the search returns last names and organizations. To search by first and last name, use the format lastname, firstname. You can also search by City and State.
- Select the employee whose checks you are voiding and click Select. To return to the previous page without selecting an employee, click the Close link.
- Click the Search icon or press "s" in the Check # field to open the Check Search field.
- Double-click the check you want to void, or select it and click Select. To return to the Void Checks page without selecting a check, click the Cancel link.
- Click Add to Grid to add the selected check.
Note: Search for just a first name by starting your search with a comma (for example, ", James"). Display a complete list of employees by searching for just a comma.
Note: To remove a check from the grid, click the Delete icon and confirm the prompt.
Void Check Edit Report
Preview a report of checks staged for voiding before posting.
- Add at least one check to the grid to enable the Void Check Edit Report button. To select all checks, select the top checkbox in the grid.
- Click Void Check Edit Report to display a preview of the report, which shows details for each check along with Final Totals at the bottom.
- Navigate the pages, export to PDF, Excel, or Word, or print the report as needed.
- Click Close Report to return to the Void Checks page.
Post Void Checks
Finalize the voids and post them to the General Ledger.
- Click Void Checks to begin the voiding process for all checks in the grid. The Void Checks - Post page displays a preview of the Void Check Register Journal, including details for every voided check and the final totals at the bottom.
- Navigate the pages, export to PDF, Excel, or Word, or print the report as needed.
- Verify the Posting Date.
- Click Finalize Post to finalize the voids and post them to the General Ledger.
To exit without posting, click the Cancel link to return to the main Void Checks page.
Note: Select Post Directly to General Ledger without Editing to post the journal entry all the way through to General Ledger History, where it can be viewed on reports and on the View Posted Journals page within General Ledger. This option skips editing and posting the journal entry on the Manage Unposted Journals page in General Ledger.
