Modify Account Structure lets you set up your chart of accounts.

Modify Account Structure

Both the Balance Sheet and Budgeted sections are hierarchical: to select a higher level, you must select the level below it.

  1. Click the Settings link to choose how your structure is set up.
  2. Set the three levels in each section. Each level description can be customized (up to 25 characters):
    • Balance Sheet: Region, Fund Group, and Fund.
    • Budgeted: Location, Cost Center, and Department.
  3. Select the Account Length (up to 15 digits).
  4. Specify whether to Use Sub-Accounts.
  5. Choose one of the following:
    • Click the Save button to save all changes.
    • Click the Reset link to undo all changes since the page was last updated.
    • Click the Cancel link to return to the main Account Structure page without saving.

Note: Changing the Account Length prompts you to add or remove zeros from the left or right of account numbers. You cannot reduce the length if enough zeros cannot be removed from the side you select.

 

Account Structure Grid

Use the grid to expand, add, and edit the levels in your account structure.

  1. Adjust the grid view:
    • Click Expand All to fully expand the grid.
    • Click Collapse All to collapse the grid to the top level, depending on the options chosen under the Settings link.
  2. Add a level:
    • Click the Add New (level) button above the grid to add top-level structure (for example, Add New Fund).
    • Click the plus sign by any level in the grid to add the next level down. For example, clicking the plus sign by a fund when you are using only funds and departments prompts you to add a new department under that fund.
  3. Specify the level details:
    • Number, Name, and whether the level is Active.
    • When adding or editing a Fund, also specify the Default Closing Account.
  4. Optionally, copy from another equivalent level. For example, adding a new Fund lets you copy levels and accounts from an existing fund with the same structure:
    • You can choose to copy inactive levels and accounts.
    • You can keep copied inactive items inactive or make them all active in the new level.
  5. To edit an existing level, click the pencil by that level, change the Number, Name, or Active status, then:
    • Click the Update button to save your changes.
    • Click the Cancel link to return to the Account Structure page.

Note: If a Fund does not have a Default Closing Account, the next Closing Account you specify on an Income or Expense Account is set as the default and applied to any remaining Income or Expense accounts lacking a Closing Account.

Note: You can only copy from levels with the exact same account structure.

Note: When copying inactive levels or accounts as active to a new level, they remain inactive in the level you copied them from.

Note: Click the Delete icon at any level to be prompted to remove it. You can only remove levels that have no activity.
