Modify Deduction Information

Modify Deduction Information allows you to set up and edit deductions and their distributions.

 

Filters

  1. Enter a Description to narrow your results, if desired.
  2. Select View All Deduction Types or View Ones with Distributions.
  3. Click Search to view your results, or click Clear Filters to reset all filters.

 

Deduction Grid

The Deduction Information grid contains the following columns for each deduction:

  1. Description
  2. Box 12: Displays the Box 12 code if applicable.
  3. FWT: Checked if the deduction is subject to federal withholding.
  4. FICA: Checked if the deduction is subject to Social Security and Medicare.
  5. Distributions: Checked if the deduction has distributions.
  1. Click Edit or double-click any deduction in the grid to edit the record.
  2. Click Add New Deduction to add a new deduction (see More Information).

Note: Within the grid, you can click the Delete icon by a deduction to be prompted to delete it. Only deductions that you have manually added to Payroll can be deleted.

 

Deduction Information > Update

Deduction Information - Update allows you to add or edit a deduction record.

Note: When editing a default template, you may not be able to change some options.

  1. Enter a Description for the deduction.
  2. Select the Box # on the W-2. See your Department of the Treasury Internal Revenue Service Instructions for Form W-2 Wage and Tax Statement for more information.
  3. If you select Box 12, select the appropriate Box 12 Code.

Select which taxes the deduction is subject to:

  1. Subject to Federal Withholding
  2. Subject to Social Security and Medicare
  3. Subject to State Withholding
  4. Subject to County Withholding
  5. Subject to Local Withholding

To add or edit a distribution:

  1. Click the Edit icon to edit an existing distribution, or click Add New Distribution.
  2. Enter the Name of the distribution.
  3. Specify the levels and Liability Account # for interfacing with General Ledger. You can also specify a Matching Expense Account.

Note: When using a Matching Expense Account, the employer-matching dollars or percentage specified on the Employee Information page - Deductions tab is not processed unless Box 10 or 12 is specified in the Box # field on the W2 field on the Deduction Information page.

  1. Click Apply to save the distribution and begin adding another.
  2. Click OK to save the distribution and return to the Update page.
  3. Click Close to return to the Update page without saving.

Note: You can search any General Ledger level or Account field by clicking the Search icon or pressing "s" to display the Search window. There is an option to show inactive, and you can use the filter to search.

  1. Double-click your level or account, or select it, then click Select.
  2. Click Close to return to the previous page without saving changes.
  1. Click Update to save all changes.
  2. Click Reset to undo all changes since the last update to the deduction.
  3. Click Cancel to return to Deduction Information without saving changes.
