Modify Compensation Information

Modify Compensation Information allows you to set up and edit compensation and its distributions.

 

Filters

  1. Use the Description filter to narrow down your results if desired. You can also select View All Compensation Types or View Ones with Distributions.
  2. Click the Search button to view your results or the Clear Filters link to reset all filters.

 

Compensation Information Grid

The Compensation Information grid contains the following columns for each Compensation:

  • Description
  • Non-Cash: Checks if the compensation is non-cash.
  • Minister Only: Checks if the compensation pertains to ministers only.
  • FWT: Checks if the compensation is subject to federal withholding.
  • FICA: Is checked if the compensation is subject to Social Security and Medicare.
  • State: Checks if the compensation is subject to state withholding.
  • County: Checks if the compensation is subject to county withholding.
  • Local: Checks if the compensation is subject to local withholding.
  • Distributions: Checks whether the compensation has distributions.
  1. Click the Edit icon or double-click any compensation in the grid to edit the record. You can also click the Add New Compensation link to add a new compensation (More Information).

NOTE: Within the grid you can click the Delete icon to be prompted to delete that compensation. Only compensations that you have manually added to Payroll can be deleted.

 

Compensation > Update

Modify Compensation Information - Update allows you to add or edit a compensation record. When editing a default template, you may not be able to change some options.

  1. Enter a Description for the compensation, then select the Box # on the W2. See your Department of the Treasury Internal Revenue Service Instructions for Form W-2 Wage and Tax Statement for more information. If you select Box 12, select the appropriate Box 12 Code.
  2. On the right side, set the options for Non-Cash Compensation and Pertains to Ministers Only. Select which taxes the compensation is subject to:
    • Subject to Federal Withholding
    • Subject to Social Security and Medicare
    • Subject to State Withholding
    • Subject to County Withholding
    • Subject to Local Withholding
  3. Select the Subject to Regular Pay Only option if you want the distribution window to only prompt for Regular Pay, Social Security, and Medicare. Other pay types, including Overtime Pay, Doubletime Pay, Holiday Pay, Other Pay, and Time Off Hours pay (all types), are omitted.
  4. Click the Edit icon or double-click an existing distribution to edit, or click Add New Distribution. Enter the Name of the distribution. In the grid (unless you selected Subject to Regular Pay Only), the following Pay Types display:

    • Regular Pay
    • Overtime Pay
    • Doubletime Pay
    • Holiday Pay
    • Other Pay
    • Vacation Pay
    • Sick Pay
    • Personal Pay
    • Misc. Pay
    • Social Security
    • Medicare

    Time Off Hours pay types reflect their customized name in Employer Information if applicable.

  5. Click the Edit icon or double-click any pay type to expand it and specify the levels and Account # for interfacing with General Ledger. Click the Update button to save your changes and collapse the pay type entry, or the Cancel link to collapse the pay type entry without saving.
  6. Click the Apply button to save the distribution and begin adding another, the OK button to save the distribution and return to the Update page, or the Close link to return to the Update page without saving.

NOTE: You can search any General Ledger level or Account field by clicking the Search icon or pressing "s" to display the Search window. There is an option to show inactive, and you can use the filter to search. Double-click your level or account, or select it, then click the Select button. The Close link returns you to the previous page without saving changes.

  1. When finished editing the compensation, click the Update button to save all changes, the Reset link to undo all changes since the last compensation update, or the Cancel link to return to Compensation Information without saving.
