Aging Detail Report

The Aging Detail report allows you to print a list of outstanding invoices and unapplied cash.

Filters

Complete the following filters as needed.

  1. Unpaid As Of: Select the basis for reporting:
    • Date
    • Period

<>Note: The Unpaid As Of option reports on invoices posted to the General Ledger. The Date filter searches based on General Ledger journal dates. Any invoices posted while the Interface with General Ledger option is turned off do not show on this report when the Unpaid As Of option is used.

  1. Invoice Date: Range from which you want to view your detailed report. Additional date filters may appear depending on the option selected.
  2. Include Paid Invoices
  3. Customers
  4. Bill To's
  5. Revenue Centers
  6. Sources
  7. Divisions: A filter appears for each division set up in Preferences.

Note: If you filter by Customer, unapplied cash does not appear on the report because it is only tied to the Bill To.

 

Options

Complete the following options as needed.

  1. Change Appearance?: Check the box to change the font type and size. A drop-down option is also available to control the white space between columns as a percentage.
  2. Include Invoice Distributions: Select this option to include items, item descriptions, and item amounts from the invoice detail on the report.
  3. Print Notes
  4. Print Setup Information
  5. Print Bill To Address and Phone
  6. Print Divisions
  7. Print Customer Number

 

Report

  1. Click Run Report to generate a preview of the report. Refer to the Report Preview help page for more information. Click the Clear Preferences link to reset all report preferences to their default values if needed.
  2. Review the report output. For each Bill To, each payment or invoice displays on a line with the following columns:
    • Customer
    • Date
    • Invoice #/Item: The item is included if Include Invoice Distributions is selected.
    • Revenue Center/Item Description: The item description is included if Include Invoice Distributions is selected.
    • Source/Division
    • Amount: A positive amount indicates an invoice; a negative amount indicates a payment.

Under the details for each Bill To, a row displays the following aging columns:

  1. Current: The total amount currently due (not overdue).
  2. 31-60 Days: The total amount is 31-60 days overdue.
  3. 61-90 Days: The total amount is overdue for 61-90 days.
  4. 91-120 Days: The total amount is 91-120 days overdue.
  5. 121 & Over: The total number of days overdue is 121 or more.
  6. Total: The total of the previous columns minus any unapplied cash.

Note: If you are using the Unpaid As Of option, all columns on this report are based on the date or period selected rather than the current date.

Any unapplied cash for the Bill To is displayed as Total Unapplied Cash under the row described above.

After all details, the Aging Detail Report Recap displays the following:

  1. Totals by Revenue Centers: Columns for Current, 31-60 Days, 61-90 Days, 91-120 Days, 121 & Over, and Total display for each revenue center, along with any Unapplied Cash. The Total amount is adjusted by any unapplied cash for that revenue center.
  2. Totals by Sources: Columns for Current, 31-60 Days, 61-90 Days, 91-120 Days, 121 & Over, and Total display for each source, along with any Unapplied Cash. The Total amount is adjusted by any unapplied cash for that source.
  3. Item Recap: Columns for Item, Item Description, and Total display for each item. If Include Paid Invoices is selected on the Filters tab, the total Sales Tax (if applicable), Total, Less Payments, and Net also display at the bottom of the recap.
  1. Click Close Report to return to the dashboard.
