Manage Unposted Transactions

Manage Unposted Transactions in Deposits on Hand lets you create, edit, and save Deposits on Hand transactions before posting them to the General Ledger. This article covers filtering transactions, working with the transaction grid, previewing the edit report, and posting transactions.

 

Filters

Use filters to narrow the transactions shown in the grid.

  1. Set any of the filters described below.
  2. Click Search to display the results. To reset all filters, click the Clear Filters link.

Available Filters

  • Group: options include every group that contains account types
  • Account Type: select the account type for which you want to display unposted transactions
  • Depositor: Click the (not set) link or the Search icon to open the Person Search window. By default, the Name field searches last names and organizations. To search by first and last name, use the format lastname, firstname. You can also search by City and State. Select the depositor and click Select, or click Close to return without selecting
  • Account Name: type all or part of the account name to filter by
  • Account Number: type all or part of the account number to filter by
  • Transaction Date: select the date range for the unposted transactions you want to view. Additional date fields may appear depending on the option chosen
  • Transactions To Include: Deposits, Withdrawals, or Adjustments
  • Sort By: Depositor, Account #, Account Name, or Date

Note: Search for just a first name by starting your search with a comma (for example, ", James"). Display a complete list of individuals by searching for just a comma.

 

 

Transaction Grid

The grid displays transactions matching the selected filters.

Grid Columns

  • Depositor
  • Account Number
  • Account Name
  • Date
  • Type
  • Check #
  • Amount
  • Note: Hover over the Note  icon to preview the note
  • Set up: Hover over the Information  icon to display user and time information for when the transaction was set up and last updated
  • Attach: hover over the Attach icon to see any notes on the attachments and the filenames of attached files

Grid Actions

  1. To edit a transaction, double-click it or click the Edit icon.
  2. To add a transaction, click the Add New Transaction link (More Information).
  3. To delete a transaction, click the Delete icon and confirm the prompt.

 

Transaction Edit Report

Preview a report of selected transactions before posting.

  1. Select the transactions you want to view.
  2. Click Transaction Edit Report to display the report preview.

For each selected transaction, the following columns display: Account, Date, Type, Check #, and Amount. The Net Change and totals for each Type also display.

From the preview, you can navigate pages, export to PDF, Excel, or Word, and Print. Click Close Report to return to the Unposted Transactions page.

 

Post Transactions

Post your transactions to finalize them and send them to the General Ledger.

  1. Select the transactions you want to post. To select every transaction in the grid, check the top box.
  2. Click Post Transactions to begin the posting process. A preview of the Post Transactions report displays.

Report Preview

For each selected transaction, the following columns display: Account, Date, Type, Check #, and Amount. The Net Change and totals for each Type also display.

From the preview, you can navigate pages, export to PDF, Excel, or Word, and Print.

Finalize Post

  1. Change the Posting Date if needed.
  2. Click Finalize Post to finalize your transactions and post them to the General Ledger. If you are posting Withdrawal transactions that have not yet been paid, an invoice is generated in Accounts Payable, and you are taken directly to Accounts Payable Payment Processing to pay the invoices and generate your checks (More Information).

To exit without posting, click the Cancel link to return to the Unposted Transactions page.

Note: Select Post Directly to General Ledger without Editing to post the journal entry all the way through to General Ledger History, where it can be viewed on reports and on the View Posted Journals page within General Ledger. This option skips editing and posting the journal entry on the Manage Unposted Journals page in General Ledger.
