Enter Manual Journal

Enter Manual Journal lets you enter manual journal entries. The page has three tabs: Details, Attachments, and Notes. This article covers entry options, completing each tab, and saving your changes.

 

Options

Set the journal header information before entering detail lines.

  1. Select the Date.
  2. Select the Period.
  3. Select the Journal Type.
  4. Enter a Description.
  5. Optionally select Send Entry to Bank Account Management if you want this entry sent to Bank Account Management when it is posted.
  6. Optionally select Create Reversing Journal in the Next Period? To have the program create a reversing journal entry for the next period after you click Apply or Update. The reversing journal entry contains all the details of the original entry, except that the debit and credit amounts are reversed.

Note: On the reversing entry, the Period from the original entry is incremented by one, and the Date is incremented by one month and assigned to the first day of that month. For example, if you entered a journal entry for March with a date of 3/23/25, the reversing entry has a period of April with a journal date of 4/1/25.

 

Details Tab

The Details tab is where you enter the journal entry detail lines.

Note: Click the Search icon, or press "s" in any field that has a Search icon, to display a Search window. Use the filter at the top to narrow your selection. In the Account Search window, you can also specify the Account Type from a drop-down list. Double-click the item you want, or select it and click Select. To return to the Update page without making a selection, click the Close link.

  1. Select the Date.
  2. Enter the level information according to your account structure, including the Account #.
  3. Enter a Description for the line.
  4. Optionally select a Project.
  5. Enter the Debit or Credit amount.
  6. To add another detail line, click the Add New icon. Add as many detail lines as needed. To add multiple lines at once, enter a number between 1 and 99 in the field on the right, then click the Add New Lines icon (for example, Add 10 New Lines).

Note: You can save a journal with zero-dollar amounts. The transaction must have two detail lines with assigned account numbers and a note.

Debits and Credits Reference

The system applies the correct sign based on the column where the amount is entered. The following summarizes Debits and Credits according to double-entry accounting standards.

Assets or Expenses (normally debit balance accounts):

  • Account Increase = Debit (+)
  • Account Decrease = Credit (-)

Liabilities, Capital, or Income (normally credit balance accounts):

  • Account Increase = Credit (-)
  • Account Decrease = Debit (+)

 

Attachments Tab

The Attachments tab lets you attach files from your device or scan image files using the Scanner.Client.exe program. See the Attachments Help Page for detailed information on the attachments feature.

 

Note Tab

Enter a note in the field provided if you wish.

 

Save Your Changes

  1. To save changes to your manual journal and create a new one, click Apply.
  2. To save changes and return to the Unposted Journals page, click Update.
  3. To undo all changes since the last page update, click the Reset link.
  4. To return to the Unposted Journals page without saving your changes, click the Cancel link.

Important: Debits and Credits must balance per fund. If they do not balance, you receive an error when attempting to update or apply.
