An invoice may sometimes be posted with the wrong vendor, expense account, or other detail. This article walks through the process of correcting a posted but unpaid invoice. In the example, an invoice was posted for "Wal-Mart Shopping Center" and displays on the Manage > Payment Processing page. The vendor needs to be changed to "Music Supply Warehouse," and the detail line needs a different expense account.
Undo the invoice
- From the Accounts Payable menu, select View → Transaction Inquiry.
- Click Clear Filters, then select Unpaid.
- Click Search.
- Locate the invoice to correct, then click the View Details icon next to it.
- Click Undo Invoice at the bottom of the Details tab.
- Review the transactions, then click Undo Transaction.
Edit and repost the invoice
- From the Accounts Payable menu, select Manage → Unposted Transactions.
- Click the Edit icon next to the invoice that needs correction.
- Click the Vendor link to select a different vendor.
- The Person Search window appears. Enter search criteria, such as the first word of the correct vendor's company name, then click Search. Double-click the vendor on the grid.
- To change the account number, click the Search icon next to it on the Details tab.
- The Account Search window appears. Search for the correct account number, highlight it, and click Select.
- Verify the invoice information is correct, then click Update.
- The updated transaction information now displays in the list.
